Instructions for Completing the Online Abstracts and Posters Form

  1. In order to submit an abstracts/posters, we request some information about you. Please provide the following.
    1. Your name
    2. Section/Department
    3. Your Mentor
    4. Research Collaboration
    5. Preferred email and phone number
    6. Recent Headshot
    7. Include a brief bio of yourself (where did you go to school, research interest, etc.)
    8. Is this research Basic Science or Clinical?
    9. Synopsis of your research (2-3 sentence)

Once step one is complete and reviewed you will then be able to submit your abstract(s) and poster. Abstract and posters must be submitted by Friday, September 11 by 11:59pm EST.

  1. Evaluation of abstracts will be based on the following considerations:
    1. Objective: Clearly state the objective of the research project
    2. Methods: Clearly state the methods used to obtain the results
    3. Results: Clearly state the results of the research
    4. Conclusions: Clearly state the conclusions of the research project
    5. Image Size: No larger than 2in high x 4in wide for publication purposes.
  1. The abstracts and posters receipt deadline Friday, September 11 by 11:59pm will remain firm and any abstracts received after the deadline will not be accepted.

Submission Rules

  1. Abstracts and Posters may be submitted Monday, August 10 and will not be accepted after Friday, September 11 at 11:59 PM, EST
  2. Abstracts should be submitted through the cOASIS platform, the body of the abstract can be copy/pasted into the submission field
  3. Character Count: Abstracts are limited to 1470 characters, not including spaces. The abstract title, authors/institutions, body, and images count toward the character limit. Each image counts as 500 characters. Image size should be no larger than 2in high x 4in wide for publication purposes.
  4. Make abstracts as informative as possible, including a brief statement of the purpose of the study or why it was done, the methods used, the results observed, and the author(s)’ conclusions based upon the results. Actual data should be summarized. It is inadequate to state “the results will be discussed” or “the data will be presented.” Abstracts must be written in English.
  5. Do NOT use subtitles (e.g., Methods, Results) in the abstract body.
  6. NO REVISIONS to abstracts or posters will be allowed after the deadline.
  7. Authorship on multiple abstracts/posters permitted (1st authorship is permitted on one poster only).
  8. All Department of Medicine faculty, fellows, housestaff, post-docs and graduate students may submit abstracts.
  9. Submissions are accepted from all BUMC members but ONLY DOM Trainees, Students, and Post docs will be eligible for competitive awards.
  10. Upon completion of your submission you will receive an email confirmation from cOASIS Abstract System

E-Poster Submission Guidelines

  • Posters must be submitted as a 1-page Powerpoint (PPT or PPTX) file
  • Use Standard Slide Size (4:3) or Widescreen (16:9)
  • Please include the names of all authors on your poster
  • E-posters can contain animation but please limit to one or two simple animations
  • Please name your poster in the following format “Last name, First name, Clinical or Basic (choose one)”

Presenters please note: You must submit both an Abstract and 1-page e-poster in Powerpoint format in order to participate in Evans Days

E-Poster Upload Instructions

  • In the Abstract Submission portal section “Eposter” you will be required to upload your Poster
  • Please click on “Add a File” to start the upload process.
  • You will be asked to enter a short description about the file, select the type of file, choose the Poster file to be uploaded and press “Save and Continue” to complete the process
  • You will then have the chance to review your work before you complete the submission
  • Once uploaded you can edit, remove or upload new files until the deadline (Friday, September 11, 2020).
