Event Details/Accommodations

The event will be held on Thursday, May 23rd, 2024 in Hiebert Lounge from 8:30am-4:30pm on the 14th floor of the School of Medicine’s Instructional (L) building at 72 East Concord Street, Boston.

Should you wish to stay in the immediate area, Boston University has discounted rates a few blocks away at the Hampton Inn.  Please call the hotel directly at 617-445-6400 to ask for a Boston University Medical Campus discount.  A discounted rate of $159/night is available.

Full-Page Ads

Advertisement graphics/copy (according to the below specifications) should be loaded into the Vendor Participation Form or emailed to Theresa Davies.  All ad copy is due no later than May 10th to be sure vendor names and ads will be listed/included in the event program.

Our specs for a full page ad are:  PDF format, 300dpi, 7.75” x 10.25” dimensions.

30-min Virtual Vendor Spotlight Sessions

Virtual Vendor Spotlight Sessions will run on Wednesday, May 22nd, 2024 (schedule TBD). These pre-event sessions are 30 minutes long and allow Vendor demos/presentations to introduce their products, tools, and services, and make connections for follow up.

Vendor Tables

Due to space limitations and to keep in compliance with fire code, only 6 vendor tables are available, first-come, first-served.

Each vendor will be provided with a 7.5 X 2.5 foot display table. Vendor table displays can be assembled prior to the welcome address at 9:00am or during the workshop sessions from 10:30am-12:00pm. Vendor introductions will be given directly after the Keynote (~10:15am).  Vendors may access the site as early as 7:30am on event day.  Please fill out the Vendor Participation Form to let us know of any special requirements needed for setup. Please contact Jack or Andrew if you need additional time to set up, as accommodations may also be made on Tuesday afternoon.  (Valuables should not be left in the event space overnight.)
