Event Details\/Accommodations<\/span><\/strong><\/p>\n

The event will be held on Thursday, May 28th, 2026 in Hiebert Lounge from 8:30am-4:00pm <\/strong>on the 14th<\/sup> floor of the Chobanian & Avedisian School of Medicine\u2019s Instructional (L) building at 72 East Concord Street, Boston.<\/p>\n

Should you wish to stay in the immediate area, Boston University has discounted rates a few blocks away at the Hampton Inn<\/a>.\u00a0 Please call the hotel directly at 617-445-6400 to ask for a Boston University Medical Campus discount.\u00a0 A discounted rate is available.<\/p>\n

Full-Page Ads<\/span><\/strong><\/p>\n

Advertisement graphics\/copy (according to the below specifications) should be loaded into the Vendor Participation Form<\/a> or emailed to Theresa Davies<\/a>.\u00a0 All ad copy is due no later than May 10th<\/strong> to be sure vendor names and ads will be listed\/included in the event program.<\/p>\n

Our specs for a full page ad are:\u00a0 PDF format, 300dpi, 7.75\u201d x 10.25\u201d dimensions.<\/strong><\/p>\n

30-min Virtual Vendor Spotlight Sessions<\/strong><\/span><\/p>\n

Virtual Vendor Spotlight Sessions will run on Wednesday, May 27th, 2026<\/strong>\u00a0(schedule TBD). These pre-event sessions are 30 minutes long and allow Vendor demos\/presentations to introduce their products, tools, and services, and make connections for follow up.<\/p>\n

Vendor Tables<\/span><\/strong><\/p>\n

Due to space limitations and to keep in compliance with fire code, only 6 vendor tables are available<\/strong><\/span>, first-come, first-served.<\/p>\n

Each vendor will be provided with a 7.5 X 2.5 foot display table. Vendor table displays can be assembled prior to the welcome address at 9:00am or during the workshop sessions from 10:30am-12:00pm. Vendor introductions will be given directly after the Keynote (~10:15am).\u00a0 Vendors may access the site as early as 7:30am on event day.\u00a0 <\/strong>Please fill out the\u00a0Vendor Participation Form<\/a> to let us know of any special requirements needed for setup. Please contact Andrew if you need additional time to set up, as accommodations may also be made on Tuesday afternoon.\u00a0 (Valuables should not be left in the event space overnight.)<\/p>\n
