{"id":142716,"date":"2026-03-12T09:42:43","date_gmt":"2026-03-12T13:42:43","guid":{"rendered":"https:\/\/www.bumc.bu.edu\/camed\/?page_id=142716"},"modified":"2026-04-16T16:23:36","modified_gmt":"2026-04-16T20:23:36","slug":"medical-educator-conflicts-of-interest-policy","status":"publish","type":"page","link":"https:\/\/www.bumc.bu.edu\/camed\/offices-services\/md-program-offices\/medical-education\/policies\/medical-educator-conflicts-of-interest-policy\/","title":{"rendered":"Medical Educator Conflicts of Interest Policy"},"content":{"rendered":"<p><a href=\"\/camed\/files\/2026\/04\/11.1-12.5-Medical-Educator-COI-Policy.pdf\">Medical Educator Conflicts of Interest Policy<\/a><\/p>\n<p><span><em>This policy is in addition to, and does not replace, any other University\u00a0<\/em><\/span><a href=\"https:\/\/www.bu.edu\/compliance\/conflicts-of-interest\/\"><span><em>conflicts of interest policy or process<\/em><\/span><\/a><span><em>.<\/em><\/span><span>\u00a0<\/span><\/p>\n<h1>Policy Statement<\/h1>\n<p>Medical educators hold a dual responsibility to uphold the highest standards of education while ensuring the integrity and fairness of student evaluation and support. This policy establishes clear guidelines to prevent conflicts of interest that may arise due to overlapping roles as educators, advisors, coaches, medical providers and family members. The intent is to ensure that all interactions foster trust, integrity, and fairness, and maintain the highest standards of professionalism in medical education.<\/p>\n<p>The school\u2019s expectations for Separation of Academic\/Physician Roles in the Provision of Health Treatment, approved by the Executive Committee on September 26, 2018 is included in this policy.<\/p>\n<h2>Covered Parties<\/h2>\n<p>This policy applies to all Educators and Medical Students at Chobanian &amp; Avedisian SOM.<\/p>\n<h2>Defined Terms<\/h2>\n<p><strong>Medical Educator<\/strong>: Any individual involved in the academic, clinical, or professional training of medical students, including faculty, allied health professionals, residents, and fellows.<\/p>\n<p><strong>Academy Medical Educator (AME): <\/strong>A designated group of core faculty who serve as the core advisor for students for the entirety of the student\u2019s time in medical school, core faculty in the Doctoring courses, and a longitudinal coach for a cohort of students across the 4 years of the curriculum.<\/p>\n<p><strong>Conflict of Interest<\/strong>: A situation in which an educator\u2019s impartiality could be compromised, or be perceived as such, due to multiple relationships existing between the educator and medical student (e.g., clinical instructor and medical provider).<\/p>\n<p><strong>Clinical Teaching<\/strong>: Instruction or guidance provided in clinical settings, including patient care or simulated environments.<\/p>\n<p><strong>Academic Advising<\/strong>: Academic and professional guidance provided to students to support their development. This does not include other forms of advising such as Field Specific Advising.<\/p>\n<p><strong>Coaching: <\/strong>Guiding, supporting, and encouraging students to achieve their goals, improve their performance, and develop their skills. It often includes providing feedback, setting objectives, and helping students overcome obstacles.<\/p>\n<h2>Responsible Parties<\/h2>\n<p>The following roles are responsible for enforcing this policy:<\/p>\n<ul>\n<li><strong>Associate Dean of Medical Education (ADME) and Associate Dean of Student Affairs (ADSA):<\/strong> Ensure compliance within the MD program.<\/li>\n<li><strong>Course and Clerkship Directors:<\/strong> Ensure compliance within their courses and clerkships and identify potential conflicts of interest.<\/li>\n<li><strong>Medical Educators<\/strong>: Oversee adherence to this policy in clinical and academic settings and must report any potential concerns of conflict to the Course\/Clerkship Director.<\/li>\n<li><strong>Medical Students<\/strong>: Notify Course\/Clerkship Director if they believe a conflict of interest exists. During the scheduling process, students must notify the Chobanian &amp; Avedisian SOM Registrar if the site provides health care precludes their assignment to a specific clinical site. If a faculty assigned to assess the student has provided health care the student must notify the course\/clerkship director immediately.<\/li>\n<\/ul>\n<h2>Procedures<\/h2>\n<h3>Identification of Potential Conflicts<\/h3>\n<ol>\n<li><strong><u>Conflict of Academic and Physician Roles in the Provision of Health Treatment<\/u><\/strong>:<br \/>\nPlease see the <a href=\"https:\/\/www.bumc.bu.edu\/camed\/offices-services\/faculty-affairs-office\/faculty\/health-treatment\/\">Policy for Separation of Academic\/Physician Roles in the Provision of Health Treatment<\/a>. Educators who have provided or are providing medical treatment to a student are strictly prohibited from participating in the assessment, clinical teaching, coaching, or advising of that student. This policy aims to protect both the educator\u2019s impartiality and the student\u2019s best interests, fostering a professional and ethical learning environment.<\/p>\n<ul>\n<li><strong>Any medical educator <\/strong><strong>who provides health care or services <\/strong>to a Chobanian &amp; Avedisian SOM medical student, including mental health services, must not have involvement in the academic assessment, evaluation or promotion of the student.A faculty member who determines that they will be involved in the academic assessment or promotion of a student for whom they have provided health care must notify the course\/clerkship director immediately and must recuse themselves from the academic assessment, evaluation or promotion of the student.Such medical educators and health professionals may give lectures but may not serve as a preceptor, course director, or member of promotions or appeals committees on issues involving such a student.\n<ul>\n<li><strong><u>Attestation<\/u><\/strong>: Medical educators are required to attest that they have not provided medical care to the medical student whenever submitting a formal clinical evaluation of any student.<\/li>\n<li><strong><u>Urgent or Emergency Medical Care of a medical student:<\/u> <\/strong>When a medical student requires urgent or emergency medical care, medical educators should refer them to a provider who is not involved in that student\u2019s assessment or promotion, unless a delay would cause harm to the medical student and no other provider is available.<\/li>\n<li><strong><u>Recusal:<\/u> <\/strong>A faculty cannot be involved in promotions or appeals decisions for a student and must recuse themselves from the deliberation.<\/li>\n<li><span style=\"text-decoration: underline;\"><strong>Course and clerkship directors<\/strong><\/span> cannot provide direct patient care to medical students.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Medical students<\/strong> must notify the Chobanian &amp; Avedisian SOM Registrar if the site where they receive health care precludes their assignment to a specific clinical site. Students must request assignments to a site different from where they received health care treatment.A student who determines that a faculty member who has provided health services may be involved in their evaluation must immediately notify the course\/clerkship director to ensure that the faculty member is recused from the student\u2019s academic evaluation or promotion or for the student to be reassigned.<\/li>\n<\/ul>\n<\/li>\n<li><strong><u>Conflict of relationship:<\/u><\/strong>\n<ul>\n<li><strong>Medical educators<\/strong> <strong>are required to disclose any personal relationship (e.g., familial)<\/strong> they may have with a medical student that would result in any conflict of interest in providing instruction or assessment to that medical student.Such medical educators and health professionals may not serve as an AME, evaluator, course director, or member of promotions or appeals committees on issues involving such a student. They may participate in intermittent teaching activities like lecture and small group facilitation family members as long as there is no evaluative component.\n<ul>\n<li><strong><u>Attestation<\/u><\/strong>: Medical educators are required to attest that the medical student is not a family member whenever submitting a formal clinical evaluation of any student.<\/li>\n<li><strong><u>Recusal: <\/u><\/strong>Medical educators cannot be involved in promotions or appeals decisions for a student and must recuse themselves from the deliberation.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li><strong><u>Academic Advising: <\/u><\/strong>To maintain an effective academic advising system for medical students, academic advising must be provided by individuals who do not have a role in any form of assessment or promotion decisions about the students they advise. This does not extend to faculty advisors for Student Activity Groups or Field Specific Advisers.\n<ul>\n<li>While serving as an Academy of Medical Educator academic advisor, the faculty will recuse themselves from assessment or promotion decisions related to their advisees. A course director\/clerkship\/rotation director cannot assess or grade any of their advisees at any time.<\/li>\n<li>Students may request to be assigned to a different advisor when they feel there is a conflict of interest in the roles the medical educator has served.\n<ul>\n<li><strong><u>Attestation<\/u><\/strong>: Medical educators are required to attest that they are not the student\u2019s advisor whenever submitting a formal clinical evaluation of any student.<\/li>\n<li><strong><u>Recusal:<\/u><\/strong> A faculty cannot be involved in promotions or appeals decisions for a student and must recuse themselves from the deliberation.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li><strong><u>Other Conflicts of Interest:<\/u><\/strong>\n<ul>\n<li>Medical educators and medical students are responsible for promptly notifying the course\/clerkship director of any other potential conflicts of interest that may arise.<\/li>\n<li>A faculty who has coached a student at any point cannot assess the student.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h3>Addressing Potential Conflicts of Interest<\/h3>\n<p>If a conflict of interest is identified, the course\/clerkship\/AME program director will take the following steps, as appropriate:<\/p>\n<ul>\n<li>the medical educator will be reassigned from roles involving assessment, coaching, or advising of the student in question<\/li>\n<li>the medical educator will recuse themselves from any activities regarding the academic assessment, evaluation or promotion of the student<\/li>\n<li>the medical student will be reassigned to a different medical educator (including AME), site, or clinical preceptor, as needed<\/li>\n<li>all evaluations submitted where a conflict has been identified will be removed and the ADME will be notified of the conflict.<\/li>\n<\/ul>\n<h3>Violations<\/h3>\n<p>Failure to disclose a known conflict of interest, may be considered a lapse in professionalism subject to coaching or disciplinary action under the School of Medicine\u2019s policies.<\/p>\n<h2>Monitoring<\/h2>\n<p>Annually, all faculty involved in summative assessment in the preclerkship phase (i.e., AMEs, Course, Module, and LEADS Track Directors) will attest that they have reviewed and are compliant with this policy. The Medical Education Office will annually review and ensure that all required faculty have completed their attestations.<\/p>\n<p>All clinical faculty completing assessments of students will attest in the evaluation form that they have reviewed and are compliant with this policy in regards to the student being evaluated.
