Monthly Timeline

January 2017

  • Accreditation Project Team arrange to meet DCI Leads who will need to delegate assignments. Distribute all materials to DCI Leads with three goals:
    1. Collect and draft the required Tables and Narratives
    2. Locate appendix materials
    3. Identify and begin corrections for any and all exposed weaknesses
  • Faculty advisor (Allison Larson) and biostatistician begin work with students to generate ISA instrument through research of GQ, requested DCI data, and other sources

February 2017

  • Get SCOMSA on board to select the ISA team; team generates survey

August 2017

  • Complete the DCI to pass on to Self-Study Task Force Subcommittees

September 2017 – December 2017

  • Self-Study subcommittees analyze relevant DCI Reports, ISA, GQ and results of previous LCME Accreditation; create Self-Study Reports for assigned LCME Standards; continue to correct any exposed deficiencies, incorporate Strategic Plan.

October/November 2017

  • ISA is open

November 2017

  • ISA Committee to submit preliminary data for incorporation into the DCI

January 1, 2018

  • self-study reports due, ready to be summarized by Self Study Task Force

January 31, 2018

  • Final ISA Report due

February 2018 – May 2018

  • Task Force synthesizes and summarizes the work of the Task Force subcommittees and prepares the final self-study summary report (SSSR)

June 2018 – November 2018

  • Review of final documents

August 2018

  • Update DCI and SSSR with 2018 GQ data and latest OME and ISA data
  • ISA final data and report due for incorporation into Task Force report
  • Update all DCI tables, narratives, and appendices; Review all materials

September/October 2018

  • final check of all materials for completeness, accuracy, voice, internal consistency, etc
  • Site Visit Preparation for Mock Site Visit

October/November 2018

  • Site Visit Preparation

By December 3, 2018

  • Send all materials to LCME via SEFT Account: Updates can follow within 2 months

December 16-18, 2018: Mock Site Visit

December 2018/January 2019

  • Planning Meetings for LCME site visit

February 24-27, 2019: LCME site visit

Group-Specific Timelines

Data Collection Instrument (DCI) preparation

  • January 2017: Leaders arrange to meet DCI Leads who will need to delegate assignments. Distribute all materials to DCI Leads with three goals:
    1. Collect and draft the required Tables and Narratives
    2. Locate appendix materials
    3. Identify and begin corrections for any and all exposed weaknesses
  • March 2017: the 2018-19 DCI is available for data entry
  • August 2017: Final DCI reports are due for Self-Study Subcommittees
  • August 2018: Final Draft due with 2018 GQ data and latest OME, ISA, financial and other data

Independent Student Analysis

  • January 2017: Contact Chair of SCOMSA. Faculty advisor (Allison Lawson) and biostatistician begin work with students to generate ISA instrument through research of GQ, requested DC! data, and other sources
  • February 2017: SCOMSA selects the ISA team; assigns subcommittees, team generates survey
  • October 2017: ISA survey is open; attempt to get 100% participation from all years
  • November 2017: Send ISA data and preliminary narrative to Dr. Larson for DCI and Self-Study Subcommittee Teams
  • January 31, 2018: Final ISA Report due, including summaries of strengths, issues, and recommendations

Self-Study Task Force subcommittees

  • September 2017: subcommittee convenes. Prepare for deliberations and report based on:
    1. relevant LCME Standards
    2. relevant sections DCI;
    3. ISA;
    4. GQ;
    5. Summary of 2011 Accreditation outcomes;
    6. 2017 Strategic Plan;
    7. Self-Study Report Questions.
      “The subcommittee reports should not simply repeat the information in the DCI. They should be a thoughtful analysis of each area based on the combined perceptions and expertise of the subcommittee members in the context of accreditation standards. The analysis should lead to conclusions about the strengths and challenges and recommendations for actions to resolve any identified problems.”
  • November 2017: ISA preliminary data available for DCI
  • January 1, 2018: self-study subcommittee reports due, ready to be summarized by Self-Study Task Force
  • August 2018: update Self-Study subcommittee reports with new GQ data and ISA data and finalize intended changes

Task Force

  • February 2018: Synthesize and summarize the work of the Task Force subcommittees and discuss and prepare the final 35-page (single spaced) Self-Study Summary Report (contents of SSSR described in LCME Guide to Institutional Self-Study), with strengths, challenges, and areas of potential unsatisfactory performance or other changing circumstances
  • May 31, 2018: Self-Study Summary Report due
  • June 1, 2018: editing for sense, voice, internal consistency, and accuracy to follow
