Making a Contact from an E-Mail Message in Outlook/Exchange – Part 2

In the previous tip, “Making a Contact from an E-mail Message,” we did not show what happens when an attempt is made to create a contact item for an already existing item. This tip examines that case and discusses the options that are available.

Let’s look at the situation from our previous tip. We have already made a contact item from the first email show here. Pressing “F11” then typing “Timothy Smith” in the address box, followed by “Enter,” will verify this. Notice the address and phone information.

Let’s cancel this display and then look at what happens when we drag a second email from the same sender onto the Contacts folder. Notice that this is a new Contact without the address information, and so forth, that we had pasted in previously.

I’m going to put data in this new contact in order to distinguish it later on—“tips” as a web address will do.

Let’s try to save this new contact— Outlook tells us that a contact for Dr. Timothy Smith already exists.

When we look at the existing contact, we see it is what we expect. Looks familiar with “Namida and I…” Let’s “x” this one.

Now let’s try to save the new one again…If we “add this,” we will just end up with two contacts for the same e-mail address. We don’t want that, so let’s choose “Update” and then click on “OK.”

This says that Outlook won’t replace the message text in the old contact with this new message text…but we can copy it if we wish…let’s hit “OK” ignoring the new text and updating the contact item.

Now notice that Outlook has made an updated contact item with the Web Address of “tips” in it.
